Automation tools connect your apps and automate these tasks. The question isn't whether to automate — it's which tool to use.

Zapier — The Easiest Option

Zapier is the most widely used automation tool in the world, and for good reason: it's the easiest to get started with. If you can describe a workflow in plain English ("When I get a new subscriber in Kit, add them to my Google Sheet"), you can build it in Zapier in minutes.

What makes Zapier great:

  • 6,000+ app integrations — by far the largest library
  • Simple two-step "if this, then that" logic is incredibly easy to set up
  • Excellent documentation and a huge community for troubleshooting
  • Reliable — Zapier's uptime is excellent
  • No technical knowledge required whatsoever

Where Zapier falls short:

  • Gets expensive fast — the free plan is very limited (100 tasks/month, no multi-step zaps)
  • Logic is simpler than Make — complex conditional workflows are harder to build
  • Less control over data transformation
  • Can feel limiting once you want to do more complex things

Best for: Individuals and small businesses who want simple automations without technical complexity. People who just want things to work without thinking about it.


Make (formerly Integromat) — The Power User's Choice

Make is what Zapier would look like if it were designed for people who like to understand what's happening under the hood. Instead of a list of steps, Make shows your automation as a visual flowchart — you can see every connection, every data transformation, every branch in the logic.

What makes Make great:

  • Much more powerful data manipulation — transform, filter, and format data precisely
  • Better handling of complex logic — multiple conditions, loops, iterators
  • Significantly cheaper than Zapier for the same number of operations

Where Make falls short:

  • Steeper learning curve than Zapier — the visual interface takes getting used to

  • Error messages can be cryptic
  • Documentation is less polished

n8n is in a different category from Zapier and Make. It's open-source and can be self-hosted — meaning you run it on your own server, and you pay nothing. The cloud version exists for people who don't want to manage infrastructure.

What makes n8n great:

  • Self-hosted = free + complete data ownership and privacy
  • Extremely powerful — you can run JavaScript code inside workflows
  • Great for complex, technical workflows that Zapier and Make can't handle
  • 400+ integrations with the ability to make custom HTTP requests to any API
  • Active open-source community

Where n8n falls short:

  • Requires technical knowledge — not for non-developers
  • Self-hosting requires a server and ongoing maintenance
  • Cloud pricing is competitive but loses the main advantage (free)
  • Fewer pre-built integrations than Zapier

My recommendation: try Make first if you're coming from Zapier. The learning curve is real but manageable, and the price difference alone usually justifies the switch within the first month.
